The Vibe Check: Essential Questions to Ask Before Hiring Your Wedding Photographer

Let’s be real—your wedding photographer is basically going to be your third wheel for your entire wedding day. Long after the midnight snacks are gone and the last TikTok is posted, your photos are the physical memories you’ll have forever.

We constantly remind our couples that booking the right photographer goes way beyond loving their IG grid. It’s about finding an artist who matches your aesthetic, respects your budget, and brings majorly good energy to your big day.

Before you sign any contracts, you need to have a quick consultation. Grab an iced coffee, pull up this list, and make sure you ask these essential questions to see if they pass the ultimate vibe check.

The Basics: Are We a Match

Don’t fall in love with a vendor’s work before you know the logistics actually line up. Get these questions out of the way first:

  • Is our date actually available? The ultimate dealbreaker. If they’re booked, thank them and keep scrolling!

  • Who is actually showing up? If they work for a larger agency or collective, make sure the person you’re chatting with is the actual human who will be following you around on the big day. You need to know if your personalities mesh.

  • Can you handle our guest count? There is a huge difference between shooting an intimate 40-person micro-wedding and a massive 250-person rager. Make sure they have the experience (and the backup shooters) needed to capture the crowd.

  • Have you ever shot at our venue? It’s totally fine if they haven’t, but you want to know if they plan to scope out the location beforehand to find the best lighting and background spots.

The Aesthetics: Securing the Vision

You are hiring an artist, which means their vision needs to perfectly match your Pinterest board.

  • What’s your editing vibe? Dark and moody? Light and airy? True to color? Editorial? Make sure their aesthetic matches the look you actually want.

  • Do you shoot film, digital, or both? If you are obsessed with that grainy, vintage 35mm film look or want a flash-heavy paparazzi vibe, a strictly natural-light digital shooter won’t be the right fit.

  • Are you a director or a fly-on-the-wall? Some photographers are super hands-on with posing (which is great if you don’t know what to do with your hands!), while others take a documentary approach, capturing candids as they naturally happen. Which makes you feel less awkward?

  • Can we see a full wedding gallery? Anyone can curate a flawless top-10 highlight reel for Instagram. Asking to see a full, real-life gallery shows you how they handle dark reception lighting, chaotic family portraits, and everything in between.

The Money Talk: Packages & Budgeting

Money conversations can feel uncomfy, but total transparency now equals zero stress later.

  • What exactly is included? Get the breakdown. How many hours of coverage? Is there a second shooter? Do we get a complimentary engagement session to practice in front of the camera?

  • Are there any sneaky travel fees? If your venue is outside their usual zip code, find out right now if you’ll be covering their gas, flights, or a hotel room.

  • When do we get the photos back? Social media makes it look instant, but editing takes serious time. Expect anywhere from 4 to 12 weeks, but get their specific timeline so you aren’t refreshing your inbox every morning.

  • Do we get full rights to the photos? You want to make sure you have the printing and downloading rights so you can post and share your pics without a giant watermark across your face.

The “What Ifs”: Disaster Prep

Life happens. You want to make sure your memories are safe no matter what goes wrong.

  • Do you bring backup gear? The only acceptable answer here is an immediate, confident “yes.”

  • What happens if you have a personal emergency? A true pro has an ironclad backup plan in their contract, usually meaning they have a trusted network and will send an equally talented replacement if they absolutely can’t make it.

  • Do you have liability insurance? It sounds boring, but tons of venues literally will not let vendors in the door without proof of insurance.

Final Thoughts

At the end of the day, your consultation is just as much about energy as it is about business. You are going to be spending some of the most emotional, vulnerable moments of your life with this person in the room. If they make you feel stressed or pressured, pass. But if they make you feel hyped, heard, and totally comfortable? You’ve found the one.
